Privacy Policy

This Privacy Policy sets out how Aesthetics Healthy uses and protects the information that you give to us when you register as a patient.  Aesthetics Healthy are committed to protecting and respecting your privacy and complying with the principles of the GDPR.  As healthcare practitioners we fully respect the confidentiality of the information that you may share with us both when you register as a new patient and during your appointments with your physiotherapist/practitioner.

It is our aim to process information about you in a secure and transparent way that enables us to carry out our job of treating you/making you well again, at the same time as holding your data in a way that you are able to understand and complies to current legislation.

When you register as a patient we will ask you for some basic personal data including name, address, date of birth, contact details and medical information both relevant to the condition you have been referred for/have referred yourself for and any other medical information about your general health.  This will help your physiotherapist/practitioner  to assess your condition and treat you in the most appropriate way that suits your individual needs.


 

How we store your information

  • Internal paper records/patient file
  • All records are held securely on our Cliniko, Square and GoDaddy management system as well as an external hard dive securely encrypted with BitLocker which allows us to manage your records, appointments and correspond (if applicable and consent given) with your referring consultant, insurer, case management company to process your claim (as appropriate).
  • Your patient file information is held for a minimum of 8 years (as required by The Data Protection Act); any credit card payment records are kept securely for a minimum of 2 years before they are shredded. All financial records are retained for a minimum of 7 years.



Security of your information

We are committed to ensuring your information is secure.  We have processes in place to ensure that your data is not compromised.  We have physical, electronic and managerial procedures to secure the information that you supply us with.  We will not share your information with anyone other than the professionals (NHS/Private referrers) and intermediaries, (insurer, solicitor, employer or other party) that you have given us permission to share your information with.


 

How we might use your information

  • To provide you with the highest levels of care, treatment and customer service
  • As a patient, we may need to contact you by email, phone or through the post. We will forward appointment reminders to you and may need to liaise about payment matters.
  • From time to time we may send you an email with news about our clinic: the range of services we offer, clinic promotions and news and articles of interest to you.
  • To improve our services offered to you



Terms and Conditions

By booking with us you agree to the below conditions:


Cancellations of all including Aesthetics appointments :

  • You must give 48 hours notice before cancelling a booked appointment via telephone or email using the message service on this website.
  • Cancellations before 48 hours of your booked appointment will be honoured. A full refund of the paid or partial paid service will be given within 4 days of notice. 
  • Cancellations within the 48 hour period will result in the loss of your deposit and or full amount paid. If you choose to rebook after canceling within the 48 hour period, a new deposit or full payment will need to be taken to secure the new booking. If you choose not to rebook then you will be liable to pay the full amount of the service you did not attend.  
  • Failure to attend you appointment will result in the loss of your deposit and/or full amount paid. 
  • If you do not turn up to your appointment, you will be liable to paying the full amount of your appointment cost and an invoice will be generated and sent to you for payment. 
  • Late arrivals will still be seen within the allocated time frame of their appointment, however, this is still subject to the full price of the booking.  We cannot guarantee any services will be delivered. It depends on the practitioners discretion and  if they feel there is enough allocated time to deliver an effective service and not run over your allocated appointment time. 


Etiquette :

  • Please use appropriate behaviour within the clinic  and its surrounding building. Aggressive behaviour, hate speech, bullying, spam messages, etc. will be  reported.
  • Forbidden and unlawful behaviour is not tolerated and will be reported.

General :

  • We will not be held liable for any lost or stolen property within the clinic or its surrounding building. 
  • Previous prices and promotional leaflets may still be in circulation and may no longer be valid. Only current up to date price promotional offers will be honoured and will be stipulated on this website. 

Aesthetics :

  • Customers must be 18 years or over by law
  • Customers agree to read the pre and post care instructions, consent form as well as medical questionnaire prior to their appointments so that if they are unsure on any instructions, they may be prepared to ask questions during their consultations.
  • Customers agree to return the, consent form as well as medical questionnaire online prior to their appointments so that if they are unsure on any instructions, they may be prepared to ask questions during their consultations. By returning the consent forms and medical questionnaire online, it is considered consent and signature.
